Halloween at Brown Park Vendor Application, Guidelines & Agreement

Vendor Responsibilities All vendors must remain open and operational during the entire event from 10:00 AM until 3:00 PM. Vendors must be fully set up and ready for business before the event begins. Vendors are responsible for their own setup and teardown. Vendors must provide their own: Tent Tables Chairs Displays Signage Extension cords (if needed) No day-of equipment purchases will be permitted. Vendors are responsible for protecting their booths, merchandise, and displays from rain or adverse weather. All tents must be properly secured and weighted to withstand wind conditions. Brown Park contains grassy areas suitable for anchoring. However, vendors may not drive nails, stakes, or other anchoring devices into sidewalks, paved surfaces, or park infrastructure.

Vendor check-in and setup begin at 9:00 AM on October 17. Festival personnel will be available to direct vendors to their assigned booth spaces. Booth assignments are determined solely by The Chamber St. Matthews. No vendor vehicles will be permitted within the event grounds unless specifically approved by event staff. Only one vehicle per vendor space should enter the designated unloading area. Vendors are responsible for unloading and transporting all materials to their booth space. No unloading assistance will be available from festival staff. Vendors are encouraged to bring additional personnel to assist with setup. Bringing a dolly, wagon, or hand cart is highly recommended. Vendor cars can be parked for load in and out only, cars must be moved as soon as loading is complete.

Vendor breakdown and load-out may begin at 3:00 PM. No vendor may begin dismantling displays, packing merchandise, or vacating their booth space before 3:00 PM. Early departure negatively impacts the attendee experience and may affect participation eligibility in future Chamber events. The safety of event guests, vendors, and volunteers is the Chamber's highest priority.

Vendor fees are non-refundable unless otherwise approved by The Chamber St. Matthews. This event is Rain or Shine. In the event of cancellation by the event organizer, refund decisions will be communicated to registered vendors.

Fortune tellers Tattoo artists Body piercing services Sexually suggestive merchandise or displays Gambling activities or gambling devices requiring licensing Casino games, pull tabs, or similar activities Knives, guns, toy guns, or weapon-related items Lasers Obscene or adult materials Drug paraphernalia Merchandise depicting illegal drug use Any item deemed inappropriate by The Chamber St. Matthews ****Free "Register to Win" promotions are permitted.

Vendors are responsible for maintaining a clean booth area. All trash must be disposed of in designated festival trash receptacles or removed from the premises by the vendor. Vendors who fail to properly dispose of trash may be prohibited from participating in future events.

Vendor/Exhibitor agrees to hold harmless and indemnify The Chamber St. Matthews, its officers, directors, employees, volunteers, agents, sponsors, and representatives from any claims, liabilities, losses, damages, costs, or expenses arising from participation in Halloween at Brown Park.
